I. SUMMARY
The Supervisor of Records is responsible for record keeping and maintaining the records to be in compliance with NAA GMM requirements and FARs.
II. ESSENTIAL DUTIES AND RESPONSIBILITIES
· Supervision of technical records clerks
· Keeping technical records current and up-to-date
· Updating hours and cycles for each aircraft and its components
· Auditing of aircraft maintenance work packages
· Updating Cardex with completed maintenance events
· Performing audits of computer system verification against aircraft maintenance work packages
· Printing and auditing necessary Cardex reports
· Performing filing activities (filing, archiving, audits)
· Performing research support
· Review of assigned aircraft log sheets, work cards, check sheets, maintenance-deferred repairs for completion and legibility; collate and file; entering data collected into the computer tracking system
· Maintaining current, orderly files of all log sheets and other required forms and reports
· Maintaining accurate, timely information on components due for time or aircraft inspection requirements; auditing data entered into time controlled parts system
· Reviewing completed component removal/installation reports, check sheets, work cards, tags and forms for accuracy, completion and legibility
· Maintaining file of serviceable parts tags for all time-controlled components
· Notifying Dir. of Maintenance Planning and Aircraft Records of work cards or inspections not completed correctly
· Assisting Dir. of Maintenance Planning and Aircraft Records
· Other such duties as assigned by the Dir. of Maintenance Planning and Aircraft Records

A. Education and/or Experience
Must possess a minimum of 2 years of aircraft maintenance or directly related experience involving Aircraft Maintenance Records. Must possess a minimum of one (1) year of supervisory experience, preferably supervising a team. Must be familiar with requirements of 14 CFR parts 1, 21, 25, 45, 91 and 121.
B. Knowledge/Skills/Abilities
- An individual in this capacity must have strong leadership & supervisory skills, ensuring that he or she uses appropriate methods of leadership, influence, and persuasion, to guide, manage, and develop those within their scope of supervision.
· Familiarity with Microsoft Office products (Access, Excel, Word) required; familiarity with UltraMain software preferred.
· Must have excellent technical comprehension, interpretation and communication skills, particularly pertaining to aviation and the aviation industry.
· Must be highly detail-oriented and have excellent organizational skills.
- Individuals in this capacity must be able to instruct others, imparting knowledge and abilities to develop others within their scope of supervision.
- An individual working in a supervisory or professional position must be able to engage individuals using multiple learning styles in order to transmit information and develop those who they are supervising.
- Strong communication skills: must be comfortable engaging in a variety of different communicative modes (verbal, non-verbal, and written). In addition, the ability to listen actively is important for this job as well.
· Ability to multi-task and stay organized in a fast paced environment are essential.
- Must have the ability to take initiative on a given task and persist with the task to its completion.
- Able to identify problems and their sources: while not necessarily accountable for the solutions, an individual must be able to identify potential resources to help in the decision making process for a particular problem.
- Must possess an ability to manage one’s own time, and to supervise others’ time, to ensure that the work that needs to be accomplished in a given time frame is, in fact, accomplished. The ability to prioritize the work provided by others in terms of importance is imperative to this position.
- The ability to process information from a variety of sources and to articulate information in a meaningful way to one’s co-workers or supervisors is critical to this position.
C. Certificates, Licenses, Registrations
A&P License is preferred but not required.
IV. WORKING CONDITIONS
A. Travel Requirements
There may be time-to-time travel required for this job, during aircraft/engines deliveries and returns, on an as-needed basis.
B. Physical Demands
Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.
